Position: Executive Assistant
Location: Irving, TX
Reporting to: Chief Executive Officer
Gather Resources is on the search to find a skilled Executive Assistant to provide high-level and confidential administrative support to our client's Chief Executive Officer (CEO) and serve as their primary liaison to all internal and external constituents, including Senior Staff, Board of Directors, and Senior Administrative Staff.
Daily activities range from coordinating and supporting the day-to-day functions of monitoring incoming mail, receiving, screening, prioritizing, and following up on internal and external incoming calls and emails, and responding with little to no supervision.
Duties & Responsibilities:
Manage an extremely active calendar of appointments; complete expense reports; compose and prepare correspondence that is sometimes confidential; arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings.
Serves as the CEO’s administrative liaison to the Board of Directors, Senior Staff, and Senior Administrative Staff.
Provides a bridge for smooth communication between the teams and or departments, demonstrating leadership credibility, trust, and support.
Works closely and effectively with the team members to keep them well-informed of upcoming commitments and responsibilities.
Completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, PowerPoint presentations, and other tasks as assigned
Handle a wide variety of confidential and sensitive information
With little or no guidance, transmit information to ensure timely correspondence and follow-up to internal and external constituents
Create, organize, file, and maintain accurate electronic files and hard copy folders
Store and sort financial and non-financial data in electronic format and present reports for the CEO
Ability to adjust to dynamic, changing requirements and deadlines
Extensive note-taking during meetings providing immediate follow-up communication
Screen and complete phone calls as needed to support the needs of the CEO
Exceptional attention to detail, organized, and conscious of quality
Occasional lifting of supplies up to 20 lbs
Qualifications:
A High School Diploma or equivalent experience required
Bachelor's Degree preferred
A minimum of five years of related professional work experience is required, including experience in supporting C-Level Executives
Experience in health care or related industries preferred
Must possess proficiency in Microsoft Office and Adobe Acrobat Pro; experience with document management software preferred
Must have a 24/7 mentality, be proactive and extremely flexible
Must be highly organized and detail-oriented; exceptional interpersonal skills; ability to handle multiple projects
Highly resourceful team player, with the ability to also be extremely effective independently
